Minutes
June 5, 2008

Excused: T. Curtola, W. Tauber, M. Wray

The meeting commenced at 6:30 p.m.

Minutes of May 1, 2008
Fisher motioned to approve, Vadlamudie seconded. The motion carried.

Treasurer’s Report
Gerhardt reviewed the report with the Board. Waslohn motioned to approve, Hakenen seconded. The motion carried.

Membership Sales & Notations
Propspective Applicants: Gregory Pater, Vincent & Robin Sinni, Hugh Phillips, Richard & Barbara Diamond. The Diamond’s are current Social members applying for a Proprietary membership. Hakenen motioned to approve, Waslohn seconded. The motion carried.
The Board took note of two reductions in the asking price of memberships. The reductions will be effective Friday, June 6, 2008.

Delinquent Account
Gerhardt motioned to sell a delinquent account as the member has not responded to several of our correspondence. Vadlamudi seconded, the motion carried.

Committee Reports
Green:
GVCC has no communication to the pump station. The committee is requesting $20,000.00 for a pump communication (SCADA). Fisher suggested a survey be conducted to help determine what type of system would best meet our needs and requested $1,500.00 for the survey. The Board questioned why GVCC had to purchase a system instead of the Solano Irrigation District (SID) system notifying us when there is a problem. All agreed a communication system is needed to give our green superintendent the information needed to monitor and program the pressure and flow to the sprinkler heads as too much pressure could destroy the new pump station. The Board will contact SID to schedule a meeting to discuss options.

House: The installation of the wallpaper and carpet in the Oakroom and Foyer is completed.

Tennis: Court usage is very active. There is an increase from 2007.

Membership: The committee forwarded four proprietary applications to the Board for approval. The membership committee supports the finance committee recommendation for funds to improve the G.M. and Asst. to the G. M. offices in an amount not to exceed $20,000.00.

Pool & Fitness: Swings have been replaced in the children’s play area.

By-Laws: The committee continues to work on wording for the delinquent member procedure and the significant other policy.

Long Range: The committee reviewed the 2007 plan and discussed how to obtain funds for projects.

Office Furniture
The offices of the General Manager and the Assistant to the General Manager are in need of improvements. The finance committee made a recommendation to the Board of Directors to approve CIF funds in an amount not to exceed $20,000.00 for the offices. After some discussion, Gerhardt will meet with Capozzo to see what can be substituted from Phase I to cover the cost. Hakenen motioned to approve, Gerhardt seconded. The motion carried.

President’s Report
The possibility of refinancing the master plan dues if there are no prepayment penalties is being researched.

Correspondence
A member letter complimenting the food and service on a recent event they scheduled.

North East Bay of Country Clubs (NEB)
A report prepared by Bill Fell, GVCC’s five year NEB representative was reviewed.

Keycards for Fitness Center and Tennis Facility
The new keycard system is currently working at the Fitness Center and will be working at the Tennis Facility next week. The new system allows:
- GVCC to issue cards and delete/remove old cards
- Shows name of who enters and exits facilities
- Current cards work with new system
- Each membership can have two cards

WiFi Access
Wifi access is now available in the Mansion and Terrace with the exception that it has not been tested. The system requires a password and is a separate system from the office network.

NEB Survey – Averages
At the request of our Treasurer, Bill Fell conducted a survey of the NEB on:
1. Staffing levels/ Headcount by department
2. Employee costs as a percentage of the operations cost.
3. Do the other clubs have an active program to encourage members to include the club in the estate planning?
The results of the report showed GVCC on the lower end of the averages.
